Ensuring ERP readiness across over one hundred stores with zero downtime

Who was the client?

One of South Africa’s largest and most recognisable retail chains, preparing for a bold step into the future, implementing a next-generation Point of Sale (POS) platform integrated with a powerful Enterprise Resource Planning (ERP) system.

What was the problem?

With their legacy POS system nearing end-of-life, a crucial deadline and failure to meet the ERP integration timeline could have led to severe consequences, including stock mismatches, failed transactions, and significant revenue loss across hundreds of stores.

The project presented a dynamic environment involving collaboration with multiple third-party vendors, remote teams across various time zones, and the added pressure of maintaining smooth operations throughout.

Solution

Expleo is more than a QA partner, we are also a delivery stabiliser. We didn’t just test, we took ownership of the entire quality assurance life cycle.

We embedded senior QA engineers with a deep understanding of retail operations, from barcode scanning on the shop floor to backend settlement systems.

To enhance communication and collaboration, we established daily check-ins with key stakeholders, breaking down silos and bridging the gap between IT and business teams.

Our proven virtual delivery model ensured consistent quality and speed across multiple regions, even with distributed teams and complex vendor ecosystems.

This successful transition positively impacted over one hundred stores, with multiple vendors coordinated over a 12-month testing window. In total, four ERP modules were tested, and more than three hundred defects were identified and resolved.
